The License/Permit Admin frame is used to create and maintain licenses, permits, and registrations for units in your fleet.
Entering license and permit information on this frame will be required if System Flag 2015 is set to ‘Y’, if not, you can also enter license and permit information on Unit Main.
Create
To add a new license or permit number, you can manually type the number into the Number field and you will be prompted to create a new record. Click the Create button in the prompt.
The Description field is a free form field, it is not a mandatory field but it can be used to further classify the type of license or permit being entered.
In the LicPermNo. Value Units section, enter the unit or units that will be associated with the license or permit number. The Year/Make/Model will automatically populate.
The Primary License check box is read only. If a unit has two or more license types, the first one that expires will be marked as the primary license once the End of Day batch process has completed. The License Flag on the License/Permit Types frame must also be checked for that License Type.
Note: If the expiration date is null the primary license box will not be checked after End of Day runs.
After all unit entries have been made, select the Type of license or permit. Double click in the Type field to bring up the list of valid license types. These are created and maintained on the License/Permit Types frame. Some examples of license/permit types would be a City Parking Permit, Salvage License, Engine Emission Certification, Vehicle Registration, etc.
The Payee/Vendor refers to the vendor to be paid if there is a fee associated with the license or permit. It must be a valid vendor on Vendor Main. Issuing Agency is a free form field to enter the agency that issued the license or permit. This could be a local or state government agency for example.
Select the State/Province along with the Country the in which the license or permit is valid. From the Contact drop down, select Using Department, Owning Department or Operator is the entity to contact for the unit license.
Set an Expiration Date for the license or permit and enter any fees that may be associated with obtaining it in the Fee field. Next enter the Start Date for when the license or permit is valid from. You can enter a weight classification/ weight restriction in the Weight field.
The last section is a free form Notes field to enter any additional information about the license or permit.
View/Modify
To view an existing license, type the license into the Number field or double click in the Number field and select one from the List of Values (LOV).
You can then modify any of the information associated with the license or permit number. After any changes have been made, click the Save button.
To delete a license or permit number, you must first remove any units associated with the number. In the i-frame that displays the list of units associated with the license number, click the row of the unit you wish to remove then click the Delete button at the top of the frame. The selected row will turn red.
Repeat this step for any additional unit records associated with the license or permit. Once all units have been selected, click the save button. The unit records will be deleted and you can now delete the license or permit number.
Click in the Number field to make the delete function active, then click the Delete button. You will be asked if you are sure you want to delete the License Permit Number, click the Delete button in the prompt to confirm the action.
System Flags
2015 – Use the License/Permit Admin Frame Exclusively to Maintain Unit Licenses? (Y/N) – If this flag is set to ‘Y’, then all unit license and permit information must be added via the License/Permit Admin frame rather than on Unit Main.
