Unit Asset Inventory Entry

The Unit Asset Inventory Entry frame allows you to conduct a physical inventory and to record the current condition of the units in your fleet. You can view this information on Unit Main and Unit Inventory Journal Query. You can also use this data in Replacement Modeling Overview.

 

Running an Inventory

In the Employee# field, enter the number of the employee performing the inventory. In the Parking Loc field, enter the parking location where the inventory was performed. Depending on System Flag 5137, the Bin/Area field could be a free form field or require a valid value.

 

Next enter the unit numbers for the units being inventoried. You can do one unit at a time or multiple units. The unit’s description will automatically populate in the Description field at the end of the row. Enter the Bin/ Area of the unit, again how this field functions will depend on System Flag 5137.

 

The Condition field requires a value of 0 through 9, zero being the poorest condition and nine being brand new. The Condition code is used in replacement modeling. You can also update the Meter Readings on the unit, you must enter a valid reading.

 

After you have completed the inventory for a unit or group of units, you can view the inventory information on the Unit Main Asset/Codes tab in Last Physical Inventory section. The Unit Condition, Last Inventory Date, and Last Verified By (employee who ran the inventory) will all be updated with the last run inventory data from the Unit Asset Inventory Entry frame. The unit’s Bin No, if changed, will also be updated on the Dept/Locations tab.

 

System Flags

5137 – Require/ Validate Bin Number on Units? (Y/N/R/V) – This flag will control whether a bin number on Unit Main is required/validated.

 

5172 – Lock Inventory Asset Fields on Unit Main (Y/N) – Setting the value of this flag to ‘Y’ will lock the Parking Location, Bin, Condition, Last Verified By and Last Inventory Date fields on the Unit Main frame. This flag is useful for controlling entries in the Inventory Asset History table since Inventory Asset updates from Unit Main will not be recorded in that table. Only entries from the Unit Asset Inventory Entry frame will be recorded on that table and therefore, only those entries will be viewable on the Unit Inventory Journal Query. Setting the flag value to ‘N’ will allow users to change inventory asset information on both Unit Main and Unit Asset Inventory entry which could cause inconsistencies in the data.
