Supply Distribution
The Supply Distribution screen allows customers to track non-fleet related
inventory such as tools and supplies. Users can associate an employee
to a Part Issue/Transfer transaction meant for tools and supply distribution.
Users can issue inventory to Departments,
Accounts,
and Units
as well as transfer to other locations via this screen. It allows for
multiple Part Issues and/or Part Transfers per line item based on defined
Part Charge Codes derived from the associated inventory location record.
Transaction Info:
- Transaction Date - This
field will default to the current date/time.
- Location Group - Required
field, these groups are setup and maintained on the Location Groups
screen and assigned to user roles.
- Maint. Location - This
list of values will pull any Maintenance Locations that are associated
with the selected Location Group.
- Employee - Must be a valid
inventory employee, the one issuing or transferring the inventory.
- Recipient/Foreman - This
must be a valid M5 Employee that is also a Supervisor. If there is
a value designated in the Supervisor Field on the Inventory Tab of
Location
Main for the Maintenance Location selected, that value
will default into this field.
Part Distribution:
- Part Number - Must be a
valid part number in M5 and it must have a Part Charge Code assigned
to the Part Inventory Location Manager (PILM) record. If you enter
a part that does not have a Part Charge Code assigned, you will receive
an error message.
- Description - This value
will default in with the description from the Part Main record.
- Location - Required field,
only locations that the part exists at may be used, i.e. locations
where the part is setup on Part Inventory Location Manager (PILM).
- From Reserve - If there
are any reserve parts for a Unit, Department, or Account, you can
check this box to issue those reserved parts.
- Part Charge Code - This
value will default in with the value from Part Inventory Location
Manager, but you can change the value via the drop down menu (Part
Charge Codes).
- Issue Entity - This value
will depend on the Charge Code selection. If the charge code is for
'Unit' you would enter or select a valid unit number. If 'Transfer"
you would select or enter a valid inventory location. Same goes for
Department and Accounts.
- Cost Category Code - This
value will default in with the value from Part Inventory Location
Manager, but you can change the value to a different code as appropriate
(Cost
Category Codes).
- Unit of Measure - Will
default in with the value on the part record.
- Available Quantity - Read-only,
will default in with the number of parts available in stock at the
location.
- Quantity - Required field,
the number of parts involved in the specified transaction, either
being issued or transferred.
- Unit Cost - Read-only,
cost per unit.
- Extended Cost - Read-only,
cost per unit times the quantity being issued/transferred.
- Fail Code - Enter or select
a valid Failure
Code, if applicable.
When finished entering the applicable data for the issue or transfer,
click the 'Save' button at the top of the screen to perform the transaction.
You can view transaction history via the Part
Journal Query screen.
Role Privileges
DISTRIBUTION CREDIT - Allows
a user to apply a credit (negative) entry to be entered within the Supply
Distribution screen.
MOBILE - SUPPLY - Allows use
of the Supply Distribution logic within MobileFocus.
