A component is a piece of equipment you want to track in order to evaluate its life cycle cost and performance. Component Main allows you to create and maintain records for these essential parts used in the operations of your fleet organization.
Components do not typically have an owning department and they do not have a using department, nor does it have a depreciate record or billing code. Therefore, costs associated with a component do not bill to a department. It is not a full, road worthy piece of equipment but is frequently a part of a road worthy unit.
Create
To create a new component, enter a new component number in the Component Information section. This number cannot already exist on the UNIT_DEPT_COMP_MAIN as a Unit, Department, or Component Number. This field has a limit of ten characters.
After entering the new number, you will receive a popup asking you to confirm the action. Click Create to confirm. Enter a description for the component in the Description field. This is a required field and has a limit of 32 characters.
Technical Specification Information Section:
Number – must be a valid number from Tech Spec Main, used to identify the year, make, and model of the component.
Category – read-only field, value will be pulled from Tech Spec information if a Category Code is associated with the Tech Spec.
Serial Number – serial number to further identify the component, free form field that is not validated (32 character limit).
Component Codes Section:
MCC – must be a valid number from MCC Main, to be used if component will have meters.
System Code – required field, must be a valid System Code.
Assembly System Code – required field, must be a valid System/Assembly Code describing the attachment (engine, fuel pump, etc.).
Component Locations Section:
Location Stored – location where the component is to be stored when not associated to a unit, must be a valid parking location.
Bin Number – bin number where the location will be stored for inventory purposes.
Maintenance (Location) – location where the component will be typically maintained for repair and upkeep purposes, will be required if System Flag 1023 or 5307 is set to ‘Y’.
Part Number – used as a part of the rebuild process, must be a valid part number in the Part Main Catalog.
Owning Department – must be a valid owning department, will be mandatory if System Flag 5308 is set to ‘Y’.
Association Status – drop down menu, until component is associated with something this field will be read only and display the status of ‘Never Associated’. Once associated, the drop down will display ‘Associated’ and will be changeable. Other statuses are Inbound, Outbound, Retired, On Work Order.
Meter Information Section:
If the component will use meter tracking, that information can be entered here. The component must have an MCC assigned to it so that valid meter types are assigned and the In-Service information can be entered.
The Notes section is a free form field that can be used to record any additional information about the component.
System Flags
1218 – Include Components in Job Forecasting? (Y/N) – If set to ‘Y’ components will be included by the forecaster program when preparing reports.
2057 – Ask for Bin or Location When Disassociating Components? (0,1,2) – Setting this flag to the default value of ‘0’ will not require entry. Setting the flag to ‘1’ will require the location to be specified. Setting the flag to ‘2’ will require both the location and bin to be specified.
5082 – Component Rebuild Allows for Early Receipts? (Y/N) - If set to ‘Y’, the user will be allowed to receive component rebuild parts into inventory before the work order is completed.
5307 – Is Maintenance Location Required for a Component? (Y/N) – If either system flag 1023 or this flag is set to ‘Y’, the maintenance location is required for components.
5308 – Is Owning Department Required for a Component? (Y/N) – If this flag is set to "Y", the owning department is required for components. This flag cannot be set to ‘Y’ unless all components not in Sold status have a valid owning department.
Role Privileges
ASSOC TO NEW LOC – The user must have this privilege in order to change the location of a component on the Location Component Association frame.
CHG ASSOC STATUS – This privilege allows a user to manually reset the component status on Component Main.
