The Shift Maintenance frames allows you to create and maintain shift codes and payroll details for all work shift in your fleet organization. Employees, Units, and Locations can all have shifts in M5.
Shifts are defined for employee and non-employee shifts. They indicate the working hours or operational hours for the entity or employee to which they are assigned.
Employee shifts define the hours an employee is expected to be available for work and are used to calculate regular and overtime hours.
Unit shifts specify the hours a unit is expected to be available for normal use for the using Department. The system will use these shift hours when calculating operational downtime information.
Location shifts define the hours of operation for a specific shop. The system will use maintenance location shift information when calculating maintenance downtime information.
Create
To create a new shift, enter a new number in the Number field. This value must be between 1 and 255. Enter a description. This field has a limit of 30 characters. Select the type of shift, Employee or Non-Employee.
Enter the shift Start Date. If time will be subtracted from Employee Planned Absences, select the amount of minutes from the drop down.
Day # - Denotes what position in the shift week the day falls. Shifts are created in 7-day increments.
Payroll Day - The approval day for the shifts work. It can be the shift start day or shift end day.
OT Start Day - Day overtime starts.
OT Start Time - Time when overtime pay rate is applied.
Start Day - Start day of the shift.
Start Time - Time of day the shift begins.
End Day - Day the shift ends.
End Time - Time of day the shift ends.
Schedule Shift - Shift Type for Shop Planning purposes.
Pay Shift - If System Flag 5326 is set to 'N' this field will not be validated. See the System Flags section below for more information.
Modify
To make changes to an existing shift, enter or select a shift number from the list of values (LOV).
After making any necessary changes, click the Save button at the top of the frame to update the shift record.
Delete
You can delete a shift provided is not in use anywhere else in the system. If the shift is in use, you will not be able to delete it from the system.
To delete a shift that is not in use, load the shift information on the frame and click the Delete button (Red X) at the top of the frame. You will receive a popup asking if you are sure you want to delete the shift. Click Delete to confirm the action. If the shift is in use, you will receive an error.
System Flags
1054 - Number of Months to Propagate Shifts - This flag specifies the number of months for which the current shift codes are effective. If you enter 12, then Shift 1, defined as 8:00 AM - 5:00 PM is in effect for 12 months.
1061 - Shift Code Required for Employee? (Y/N) - If set to 'Y', you must enter a shift code on the Employee Main frame. If set to 'N', a shift code is not required on the Employee Main frame and the shift will default to 0.
5326 - Require Pay Shift Validation? (Y/N) - If set to 'Y', the Pay Shift field on Shift Maintenance will be validated.
